Verdantix is committed to respecting your privacy. Please read the information in this Privacy Policy, which explains when we collect your information, what information we collect, how we use the information, the legal basis for collecting information from you and your data privacy rights. This Privacy Policy applies when you:

  • Register your details and activate an account on one of our Sites to access our Content, whether as a Client or through a complimentary offering, including our Vantage programme;
  • Provide your details and activate an account to take ownership of a vendor profile on our technology evaluation portal and upload additional information;
  • Share information on our Sites regarding your role, business priorities and technology assets;
  • Register on a Verdantix Site to receive complimentary information contained in our email newsletters;
  • Register on a Verdantix Site to attend a Verdantix in-person summit or webinar;
  • Apply for a Verdantix career opportunity;
  • Participate in a Verdantix research interview or briefing.

 

In addition to the information provided directly by you to Verdantix, we gather information from public sources such as social media sites and from third parties such as marketing data providers, company websites, public records and news media.

Information Verdantix Collects From You

Depending on how you interact with Verdantix, we will collect different information directly from you.

  • When you register on a Verdantix Site, you may choose to provide us with contact information, including your name, email address, company name, work address, job title, business function, industry and phone number.
  • If you participate in an interview with Verdantix, you may choose to provide contact information.
  • If you create a profile on the Verdantix technology evaluation portal, you may choose to provide information about your technology requirements and current technology landscape.
  • We collect behavioural information based on how you interact with functionality and features on Verdantix Sites. We collect data on the email links that you click on, the emails you open and the emails you respond to. We collect information about User IP addresses and web data via Cookies (see our Cookie Policy).
  • As a job applicant, you may choose to provide Verdantix with information on prior positions, education history and your personal contact information.
  • When you attend a Verdantix in-person event, you may upload information to our Event Application or send information by email, such as on dietary preferences and physical disabilities, or photographs and topic preferences.
How Verdantix Uses The Information

For contractual reasons. Verdantix uses personal information to fulfil contractual obligations to Clients, including providing secure access to Restricted Areas of our Sites, enabling access to Verdantix webinars, scheduling Analyst Inquiries and arranging virtual and in-person meetings.

For research and consulting studies. Verdantix uses personal information to schedule calls, briefings and interviews, so that we can undertake our core business activities of producing research content and consulting studies.  

For the improvement of our products and services. Verdantix uses personal information to gather feedback on the quality and breadth of our products and services by interviewing Clients and other users of our Content. We use personal information to compile and assess data on report downloads, inquiries and webinar attendance.

For website experience improvement. We use data on website usage to better understand how Users interact with content, functionality and features. This enables Verdantix to improve research plans, enhance the website experience and provide more customized client service.

For Site security. We collect user IP addresses as part of our website security efforts, which are required for the reliability of our Sites, protection of our users and detection of fraudulent or unlawful use of our Sites.

For job application processing. Verdantix uses personal information and career history information to make decisions on job applications, provide feedback to candidates and schedule virtual and in-person meetings.

For performance improvement with third parties. Verdantix may disclose, on a limited basis, personal information with third parties, when it is necessary for them to fulfil their obligations to us. Information we disclose to third parties is covered by a contractual agreement to keep your information secure and confidential.

For marketing purposes. Verdantix uses personal information provided directly by you to us and information we collect from third-party marketing data providers and other legitimate sources, to operate marketing campaigns with regard to our products and services.

For attendance at Verdantix in-person events. When you register to attend a Verdantix in-person event, we use the information to plan for and provide hospitality that is suitable for all attendees. For certain events, we may make a third-party event mobile app available, which enables all registered attendees to view name, company and job title and to send messages to other attendees. During the event, you will be issued with a badge with your name, company and job title.      

Reasons Why We Use This Information

Verdantix uses the information you provide to us directly or that we gather about you from social media and marketing data providers for the following reasons:

  • To complete contractual obligations, such as providing you with access to Content contained in Restricted Areas of our Sites;
  • To comply with applicable laws and regulations in the jurisdictions where we operate;
  • As part of our legitimate business interest to provide you with information about our products and services, develop our brand and perform business operations;
  • For marketing purposes. In those jurisdictions where consent is required, we provide you with the ability to opt out of our marketing programmes bycontacting us;
  • To inform event venues about dietary requirements and attendee numbers, including to meet health and safety requirements.
Disclosure Of Your Information

Verdantix may disclose your personal information to third parties on the following basis:

Consent or authorization. When you provide your consent for us to disclose your information to third parties, we may do so.

Compliance with legal requirements. To comply with applicable laws in the jurisdictions where we operate, and to respond to requests from legal authorities, we may be required to disclose your information.

Contact information aggregation. Verdantix may consolidate and anonymize information relating to our users for data analysis purposes; this information may be shared with third parties. When we do this, we remove personal information.

Event interaction. If you attend an in-person event, you may share your personal information with sponsors or other attendees. You may have a badge with a barcode or QR code containing personal information, which may be scanned when you visit a booth or enter an event session.

IT systems/databases. We may disclose your personal information to third-party operators of IT systems which we use to store, secure and process business information.

Service provision. We may disclose your personal information to vendors providing services who need the information to execute their contractual obligations, such as event venues, hotel operators, auditors and lawyers.

Corporate transaction. In the event that Verdantix undertakes a capital raise, is sold or merged with another company, we may share your contact information as part of the due diligence process, subject to applicable law.   

Your Data Subject Rights

We respect your privacy and want you to be in control of your personal data. You have the following rights in this respect. You may:

Access your data. You can ask us for a copy of the personal information we hold about you.

Correct your data. If something is wrong or incomplete, you can ask us to fix it.

Delete your data. You can request that we erase your personal information when there is no reason for us to keep it. In addition, you can delete Cookies from your hard drive (see our Cookie Policy).

Limit how we use your data. You can ask us to restrict processing in certain situations.

Object to certain uses. You can deny permission for your data to be used for marketing or when we rely on our legitimate interests.

Request a different data format or controller (data portability). You can request your personal data in a structured, commonly used and machine‑readable format, or ask us to transfer it to another controller, where technically feasible.

Withdraw consent. If you have given consent, you can change your mind at any time. This includes not permitting your badge to be scanned at Verdantix events.

Unsubscribe from marketing. You can opt out of marketing emails by clicking ‘unsubscribe’ or by contacting us.

Refuse to permit automated decisions. You can ask us not to make decisions about you based only on automated processing.

Complain to the ICO. If you are unhappy with how we handle your data, you can contact the UK Information Commissioner’s Office.

International Data Transfers & Protection

Verdantix has office locations in the UK and the USA. We undertake research worldwide and have clients in more than 30 countries, including in the European Union. We may transfer personal information to servers, databases or service providers located outside the UK and EEA. Where we do so, we use lawful transfer mechanisms and safeguards to protect your data, such as:

  • UK adequacy regulations (for destinations deemed adequate).
  • International Data Transfer Agreement (IDTA)** or the UK Addendum to EU Standard Contractual Clauses, with supplementary measures as needed.
  • Binding Corporate Rules (BCRs)** for intra‑group transfers, where applicable.

 

We carry out transfer risk assessments where appropriate, to ensure your rights remain protected under UK data protection law.

Retention Periods

We keep your personal data only for as long as is necessary to fulfil the purposes for which it was collected, including for legal, accounting or reporting requirements. Call Recordings

With your consent, we may record sales, customer service or research calls for training and quality assurance. If recorded, we will inform you in advance and you may decline.
